Recruitment Operations

One operations board for cross-border recruitment

An operations and decision board for international recruitment, tracking every case across partner offices in seven source countries — stage, arrival, delay and SLA state on a single screen, in Arabic.

The problem

Cross-border recruitment runs on a chain of external offices, each with its own paperwork, timezone and reporting habit. A coordinator cannot say which cases are late, which arrivals are due this week, or which need someone to intervene today, because the answer lives in a different place for every office.

What made it hard

This is an operations problem before it is an AI problem. The hard part is a case model that survives contact with seven countries' processes, and a board that stays legible when hundreds of cases are open at once — so that the exceptions surface instead of drowning in the total.

What we built

A single daily operations board over one case model. Counters for the states that require action — in progress, late, critical, arriving within 72 hours — with an immediate-intervention centre that lists the cases needing a human decision now, rather than leaving a coordinator to find them.

Architecture

  • One case model spanning every partner office and source country
  • Stage tracking with per-case SLA state and delay detection
  • An exception centre that surfaces the cases needing intervention today
  • Arrival scheduling on a 72-hour horizon, for reception and housing
  • Arabic-first interface and right-to-left layout, not a translated afterthought

The product

The Arabic daily operations board: a decision and operations centre covering 29 external offices across seven countries, with counters for total, in-progress, late and completed transactions, arrivals within 72 hours, SLA compliance, and an immediate-action centre below.

What became possible

  • Every partner office across seven source countries reports into one board, filterable by country.
  • Late and critical cases are counted rather than discovered, and the arrivals due in the next 72 hours are visible before they land.
  • The exception centre puts the cases needing a human decision in one place, so a coordinator starts the day with the list instead of assembling it.
